Anti-Spam Policy
Vaakio is for permission-based email. This policy sets out what every sender on our platform must do.
Last updated 21 September 2026
1. Our position
We have zero tolerance for spam. Spam hurts recipients and damages deliverability for every Vaakio customer, so we enforce this policy actively. It applies to all users of the Service and is part of our Terms of Service.
2. Permission
- Email only people who have given you permission (opt-in) or where you have another valid legal basis under the laws that apply to you.
- Keep a record of when, where, and how each person opted in, and provide it to us on request.
- Do not use purchased, rented, scraped, or harvested lists, or third-party lists you cannot prove consent for.
- Do not add people to your list because they gave you their business card or because you emailed them once, unless the law you operate under permits it.
- Use the permission for what it was given for. Someone who signed up for a newsletter has not agreed to promotions from third parties.
3. Every email must
- Have accurate "From", "Reply-To", and routing information, and a subject line that reflects the content.
- Identify itself as marketing where the law requires it.
- Include your valid physical postal address (required by CAN-SPAM) and clearly identify you as the sender.
- Include a working, visible unsubscribe link and honour requests within 10 business days at most (we recommend immediately). Vaakio processes unsubscribes automatically; do not re-add people who opted out.
- Not require anything beyond an email address or a single visit to a page to unsubscribe, and not charge for it.
4. Laws that apply
You are responsible for complying with the laws that govern your sending, including the US CAN-SPAM Act, Canada's Anti-Spam Legislation (CASL), the EU and UK GDPR and ePrivacy rules (including PECR), and equivalent laws elsewhere. In summary: the US allows opt-out marketing email if you follow the rules above; Canada, the EU, and the UK generally require prior consent for marketing to individuals. If in doubt, get explicit opt-in consent.
5. How we monitor
We monitor bounce rates, spam complaints, unsubscribe rates, and spam-trap hits. As a guide, we expect complaint rates well below 0.1% and hard-bounce rates below 2%. Where a campaign or account exceeds acceptable levels, we may:
- pause the campaign and ask you to explain your list source and permission records;
- throttle or suspend sending, or suspend or terminate the account;
- cooperate with mailbox providers, anti-spam organisations, and law enforcement.
6. Reporting spam
If you received unwanted email sent through Vaakio, forward it with full headers to abuse@vaakio.com. We investigate every report, and you can also use the unsubscribe link in the message. To have your details removed from a customer's list, contact that sender or see our Privacy Policy.
7. Changes
We may update this policy and will post changes here with a new date.
